Job Title:                 Administrative Assistant

Department:          Youth and Young Adult

Reports to:            Director Youth and Young Adult Ministry

FLSA status:         Non-Exempt--Full Time

Job Description:  The Administrative Assistant will assist the Office of Youth and Young adults Ministry in secretarial and administrative functions. This position will also provide assistance and support to other members of the diocesan pastoral staff as well as communicate effectively with parish leadership. This is a full-time position and includes occasional evenings and weekends.

Job Responsibilities:

-Provide excellent customer service to staff, clergy, religious and laity. This includes security camera monitoring, professionally welcoming visitors, answering, screening and directing phone calls.

-Provide regular and effective communication both verbal and written with parish ministry leaders, respond to telephone inquiries and written correspondence in a timely, courteous and professional manner.

-Assist with coordinating details of events, meetings, trainings and conferences including: facility reservations, safe environment compliance, registration, hospitality, computer A/V set up, ordering supplies, minutes, evaluations and other duties as assigned, assisting on site as needed.

-Create flyers, posters, social media posts, webpage events using graphic design software such as Canva or Microsoft Publisher.

-Create and manage events in software such as JotForm, Mail Chimp and Microsoft Excel.

-Assist with basic accounting functions including check requests, deposit reports, expense reports, recording and process all incoming registrations/payments/invoices for the various conferences/rallies/events for the Office of Youth and Young Adult Ministry.

-Participate in preparation, implementation and management of reports.

-Update resource and policy manuals as needed.

-Update and assist with media.

-Participate in Pastoral Office, Staff and other ministry meetings, including the reading and commenting on the books/exhortations used for discussion during ministry meetings.

-All other assignments deemed necessary for the proper operation of the office.

 Knowledge, Skills, and Abilities should include:

-Ability to use Microsoft Office, G Suite, JotForm, Survey Monkey, Canva, Email Marketing, WordPress, various social media including Facebook, Instagram and Snapchat.

-Able to operate large networked printer/scanner/copy machines.

-Spanish recommended, not required

-Virtus trained and background checked.

Department:   Pastoral Center, Office of Stewardship and Development

Reports to:     Chief Development Officer

FLSA status:    Non- Exempt, Full-time

The Office of Stewardship and Development has an opening for an individual seeking full-time employment with the Diocese of Reno. Employment will include competitive compensation along with a generous benefits package.

This individual will work under the general supervision of the Chief Development Officer and the Executive Administrative Assistant in the department and will need to perform a variety of deadline driven professional level administrative duties including secretarial and clerical work.

Job Responsibilities:

-Assist in the management of Diocesan properties including the Pastoral Center

-Basic bookkeeping skills to include bank reconciliation, collection, documenting, distributing stipends, and preparing bank deposits

-Assist administratively in preparing financial, status, and budget reports on an ongoing basis

-Plan and organize work and special events and be able to meet demanding schedules and timelines

-Collect and analyze data and information in order to generate reports utilizing software options and applications which represent and interpret data

Knowledge, Skills and Abilities should include:

-Intermediate to advanced knowledge of computer systems and software including Word, Excel, Access, Publisher, and PowerPoint

-Good analytical and problem-solving skills

-The ability to communicate effectively both verbally and in writing

-The ability to operate sophisticated office equipment including mailing and copy machines

-Maintain strict confidentiality of data and other information

Job Title:          Assistant to the Bishop's Office

Department:   Bishop's Office, Pastoral Center

Reports to:       Chancellor

FLSA status:    Non-Exempt, Full-time

This position provides secretarial and administrative support to the Bishop, Chancellor, Vice-Chancellor. This position also provides assistance, back-up, and support to the other members of the Bishop’s office and reception at the front desk of the Pastoral Center.

Job Responsibilities:

-Fielding calls and directing inquiries to the appropriate department

-Appointment scheduling

-Assist with coordination of Diocesan and Pastoral Center events

-Reconciling receipts as needed

-Receive, direct and relay telephone messages, e-mails and fax messages appropriately

-Respond to public inquiries

-Assist with administrative office tasks including creating documents, completing mailings, assisting as needed with Pastoral Center projects

 Knowledge, Skills, and Abilities should include::

-Excellent people skills a necessity

-Excellent written and verbal communication skills

-Proficiency in computer and communications technologies is essential

-Ability to maintain confidentiality is required

-Ability to carry out multiple tasks at the same time

    Our Mother of Sorrows:  Cemetery Groundsman- The Cemetery Groundsman maintains cemetery grounds and prepares graves, grave areas including and not limited to grave excavation; burial functions (opening/closing for interments, entombments, inurnments, disinterment); lawn sodding, seeding, fertilizing; monument and marker setting; manual and mechanical earth moving and lawn care equipment operation; cemetery cleanup.  Please email to taras@catholicreno.org.
